Job Description
Job Title: Client Service Specialist
Reports To: Chief Operating Officer
FLSA Status: Exempt
Department/Division: Operations

Objective: Assist all Bluerock Wealth Management staff in creating a warm, friendly environment which enriches the client experience at Bluerock Wealth Management.

Essential Duties & ResponsibilitiesOther duties may be assigned to meet business needs.
• Assist the COO with new client paperwork, compliance tasks, and other projects
• SalesForce and Black Diamond maintenance. Manage data entry in Salesforce (XLR8) ensuring process automation, and management and firm specific reporting is available and accurate
• Organization and maintenance of client documents and files
• Preparation of new account paperwork for bank and brokerage accounts across the firm’s multiple custodians
• Processing of account maintenance requests (address updates, statement coordination, etc.)
• Maintains cash receipt log; scans and logs checks and provides cash receipts blotter to Chief Compliance Officer
• Run Distribution Reports (IRA and Inherited IRA Distribution, Required Minimum Distribution, etc.)
• Assist with developing and deploying best-practice processes and workflows related to client-facing, client onboarding, and internal tasks in order to integrate existing technology and departments
• Assist Reporting with automation and efficiency of quarterly reporting and billing
• Conference room support and management
• Schedule meetings and appointments
• Perform a variety of clerical duties (copies, scanning, filing, weekly/monthly reports, deposit checks, etc.)
• Covering Front Office when needed. Ensure there is always relief coverage for the front desk for lunch and breaks, covering phones and administrative needs
• Assist with firm event planning; managing invitations, guest lists, and ordering client/firm lunches

Qualifications
• Exceptional interpersonal communication skills
• Customer service driven
• Excellent phone etiquette
• Strong verbal and written communication skills
• Strong organizational skills; must be organized, detail-oriented and able to take initiative
• Ability to work independently on assigned tasks as well as to accept direction on given assignments
• Punctual
• Proficiency in Word, Excel, Outlook

Education/Training/Experience
• 2-3 years of relevant experience, preferably in Financial Services
