Essential Responsibilities
 Provides administrative support for clients: answers calls, manages contacts, manages schedules, expenses, books travel, types correspondence, produces reports, and creates presentation materials
 Ensures phones and visitors are answered promptly and professionally
 Act as point of communication within the office for service team to communicate, promote and support initiatives and goals
 Supports the Wealth Management Team by reviewing and completing client tasks
 Assist clients with new account applications, account maintenance, and other account related requests with the Custodians
 Assist and oversee servicing of accounts and provide wealth managers with client updates
 Prepare and submit signed paperwork to Custodians for processing
 Ensure new hires receive the appropriate training so that they can become highly productive as quickly as possible
 Manage the internal hiring process for all new employees ensuring defined process is followed and appropriate paperwork completed
 Hold and facilitate weekly staff meetings with team
 Serve as the liaison with custodians and third-party vendors
 Support the Integrator ensuring team is ready and prepped for client meetings
 Ensure CRM is properly used and maintained by all in office
 Engage and prepare client onboarding requirements with Emoney and Orion
 Maintain compliance standards and protocols for client service-related items
 Ensure team is following compliance standards and protocols
 Create and maintain the submission and review process for all marketing materials
 Support the CCO by creating and maintaining the compliance annual review process
 Actively manage and oversee the fee audit process by ensuring the performance on the security, portfolio and household level is calculated correctly and timely
 Engage in technology oversight and act as liaison with tech vendors as needed
 Focus on streamlining operational processes
 Maintain copies of the Business Continuity Plan and understand the execution of it

Qualifications
 Bachelor’s Degree
 Series 65 or equivalent
 Ideally 6+ years of experience in financial services
 Progression of client service experience demonstrated
 Strong leadership experience demonstrated
 Experience with investments and financial planning a plus
 Experience working with various custodial platforms including LPL Financial, TD Ameritrade, Fidelity, and Charles Schwab
 Excellent communication skills (verbal, written and listening)
 Proficient in Microsoft Office Suite required
 Proficiency in Redtail CRM, Emoney and Orion a plus
 Knowledge of Broker Dealer and Investment Advisory Regulations
 Demonstrates personal integrity, honesty and can deal with confidential information
 Ability to handle stress in an ever-changing investment market
 Excellent time management and strong organizational skills
 Ability to prioritize multiple tasks and anticipate potential problems
